Cross-Department Process Handoff Template
Does work arrive at the next team with something missing? Let's put the handoff into words both teams can agree on: what needs to arrive, who accepts it and what happens when it isn't ready.

Agree how work changes hands
Let's agree what the next team needs from you, who accepts the transfer and what happens if something is missing.
You will create: An editable handoff agreement for review by both teams. Read the companion guide.
How this tool works
- Name the sending owner, receiving owner and person accountable for the complete process. Describe what starts the transfer, the outcome you need and which system holds the record.
- Ask the receiving team what they need to accept the work. List the required details and quality checks, then agree who receives incomplete work back and how.
- Agree when the response clock starts and pauses, who handles exceptions and when you'll review the agreement. Try it with both teams before adopting it.
A worked example
Try the fictional sales-to-delivery handoff. Before the coordinator accepts the work, you'll need a signed scope, client contacts and delivery dependencies. Use the example to check whether your own teams share a definition of “ready.”
Questions before you use it
Can I start using the agreement immediately?
Treat it as your working draft. Ask both teams and the process owner to confirm the rules, then test it on real handoffs before adopting it.
What if we have lots of exceptions?
Record the recurring types, who decides what happens and how you escalate them. If the same exception keeps coming back, check whether the standard itself needs to change.
